Overview

The Executive Assistant plays a vital role in supporting Ballator’s leadership and staff across four divisions.

This position provides high-level administrative and operational assistance, including calendaro thrive in this role, you’ll need to be detail-oriented, exceptionally organized, and an effective  communicator with a proactive mindset.

What You'll Do

Please note that the duties below can vary based on the workflow of your local office.

  • Provide administrative support to executives, including calendar management, meeting
    coordination, travel arrangements, and expense reporting
  • Manage departmental and executive travel logistics, including rewards programs
  • Administer phone systems and monitor secure entry for visitors
  • Handle incoming and outgoing mail and shipping; manage conference room scheduling;
     coordinate with delivery vendors
  • Collaborate with other Executive Assistants on meetings and travel needs
  • Create presentations, reports, spreadsheets, and correspondence using appropriate software
  • Plan and coordinate internal and external events and company-wide meetings
  • Draft and proofread written communications from dictation or handwritten notes
  • Monitor, maintain, and reorder office and breakroom supplies
  • Perform other duties as needed, depending on local office workflow

What You'll Need

  • Associate’s degree and 2–3 years of experience supporting executives and office or an equivalent combination of education and experience.
  • Typing speed of 55–65 words per minute with high accuracy.
  • Excellent verbal and written communication skills.
  • Strong organizational, multitasking, and time management abilities.
  • Professional demeanor, polished phone presence, and appearance.
  • Tech-savvy; proficient in Microsoft Office Suite and business systems.
  • High attention to detail and ability to handle confidential information with discretion.
  •  Frequently able to lift/move up to 10 lbs.; occasionally up to 25 lbs.
